At three or four vehicles a business stops making vehicle decisions and starts running a fleet, usually without anyone being given the job. Contracts end at awkward times, one van is always in for repair, and nobody can say what the vehicles actually cost per month. Small fleet leasing is mostly about fixing that — turning a scattered set of commitments into something predictable.

What does a fixed monthly cost do for planning?

A contract hire rental is a known figure for a known term, which turns the most variable line in a small business's budget into a fixed one. Add a maintenance package and servicing, tyres and wear items go in the same fixed figure, so a clutch or a set of tyres never lands as a surprise bill in a bad month — our maintenance guide sets out what is typically included and what is not. How do you stop renewals stacking up?

Most small fleets end up with two or three vehicles coming off contract in the same quarter, because they went on in the same quarter. That means simultaneous inspections, simultaneous replacements and a bad month for cash flow. Varying the terms across the fleet — some at three years, some at four — spreads renewals out and gives you room to replace vehicles as they need it rather than all at once. If your fleet is already bunched up, it can be unwound gradually as vehicles come due. Worth raising when you next add a vehicle.

Which fleet details are worth settling early?

In a small fleet every vehicle is doing a job, so a van off the road is work not done. Ask what the arrangements are if a vehicle is off the road, and get the answer in writing rather than assuming. The other details worth settling early: who is allowed to drive each vehicle and how licences are checked, how mileage is monitored so nobody quietly runs 8,000 miles over, and what condition standard applies at the end of the term. None of these are complicated — they are just easier decided now than in year three.

Business contract hire is for limited companies and LLPs. If you trade as a sole trader, or you want the vehicle in your own name, what we can supply is short-term vehicle rental of up to 89 days instead. How many vehicles counts as a small fleet?

There is no formal line, but roughly three to fifteen is where businesses start needing fleet-style arrangements: consolidated agreements, planned renewals and a single point of contact rather than a set of unrelated deals.

Can I put different vehicle types on one arrangement?

Yes — vans, pickups, tippers and company cars can sit alongside each other. Each vehicle has its own term and mileage, chosen for the job it does rather than forced to match the rest.

Can I reclaim the VAT on fleet van rentals?

A VAT-registered business can generally reclaim VAT on van lease rentals used for business. Cars are treated differently. Your accountant should confirm your position — we quote ex-VAT with the VAT-inclusive figure alongside.

What happens if a vehicle is off the road?

Ask us and get the answer in writing before you sign, because arrangements vary with the contract and the maintenance package. In a small fleet, downtime cover is worth more scrutiny than a few pounds on the monthly.
